Bujumbura Airport Transfers: What to Include in Your Request

Make the pickup easy to understand

An airport transfer is a small part of your holiday, but it is often the first arrangement you use in Burundi. A clear request helps the team connect the correct flight, traveller, vehicle and destination. Start with the travel date and whether you need an arrival pickup, a departure transfer or a return arrangement. Then give the pickup and drop-off locations in full. A hotel name alone can be ambiguous if it has more than one property or if your accommodation is a private apartment.

For an arrival, share the flight number and the scheduled landing time. For a departure, share the flight details and your accommodation pickup point, then ask the team to agree the collection time. Do not assume that landing time, airport exit time and vehicle departure time are identical. Immigration, luggage and meeting arrangements all belong in the planning conversation.

Count people and luggage separately

The number of passengers is only half of the vehicle question. Two people with large suitcases, photography equipment and additional bags have different space requirements from two people travelling with small backpacks. List your larger bags and any item that needs unusual room. If you are unsure which vehicle to select, choose the recommendation option and describe what you will carry.

Families should include relevant child-seat requests before the transfer is confirmed. The request itself is not confirmation that a particular seat or vehicle has been reserved. Ask for the final arrangement in writing. The same approach applies to mobility needs: describe the assistance required, whether steps are difficult, and whether any mobility equipment must fit in the vehicle. This is more useful than choosing a vehicle purely from a photograph.

Agree where and how you will meet

Before travelling, check the written meeting instructions and the contact number you should use if you cannot find the driver. Keep those details somewhere you can access without depending on an unfamiliar airport connection. If your phone number will change when you buy a local SIM, tell the team how to reach you during the transition. A WhatsApp number is helpful only if you can receive messages on it at the time of pickup.

If another person is arranging the transfer for you, identify the lead passenger clearly. The booking name, contact person and person stepping out of the terminal may otherwise be different. For a group arriving on separate flights, specify each arrival rather than using only the first flight as the reference. The team can then discuss whether one shared pickup or separate transfers makes more sense.

Treat a return transfer as a second journey

A round trip needs its own return date, collection time and pickup location. Your departure hotel may be different from your arrival hotel, particularly after a multi-day tour. Check whether the return journey includes a stop, additional passengers or different luggage. These details should be in the saved request rather than left to an informal conversation on arrival.

If you want a city visit before an evening flight, describe it as part of the required service. A direct airport transfer does not automatically include several hours of sightseeing or waiting. Likewise, a pickup that continues to Gitega or another destination is a different route from a transfer to a Bujumbura hotel. Writing the full route allows the quote to reflect the arrangement you actually need.

Understand the request and quotation steps

Use the airport transfer form to send the route, date, passenger numbers and contact details. The website saves the request and gives it a reference. If you choose WhatsApp, the follow-up link prepares a message you can send to the team; opening WhatsApp alone does not deliver that message. Email remains useful for a written quotation and a record you can return to later.

Transport requests are quoted for the actual route and arrangements. Do not pay an amount guessed from an old social post or a different journey. Review the agreed service, currency and payment instructions first. If you change the destination or collection date after receiving a quote, ask the team to confirm the revised arrangement before paying. Keep the request reference with your message so the update can be attached to the correct record.

Keep a practical arrival checklist

Before departure, have your flight information, final accommodation address, lead traveller name and reachable number ready. Recheck the date if your journey crosses midnight. Save the agreed pickup instructions and tell the team promptly if the airline changes your flight. When you arrive, follow the meeting instructions and contact the agreed number if anything is unclear.

For a straightforward request, you can write: arrival transfer, flight number, travel date, passenger count, luggage count and hotel destination, followed by any assistance required. For a return, add the second journey in the same clear order. M Travel can then work from one complete brief, and you can review the saved request in your client area once your account access is verified. That makes the first and last parts of your visit easier to organise.
